INFORMATION CLAUSE FOR EMPLOYEES OF CONTRACTORS

Information on the processing of personal data by the Wrocław University of Science and Technology (WROCŁAW TECH)

According to art. 13 and 14 GDPR (Regulation of the European Parliament and of the Council (EU) 2016/679 of 27.04.2016), we inform about the processing of personal data by us in connection with activities necessary for the preparation of contracts with the participation of the Wrocław University of Science and Technology, their conclusion and implementation.

The data controller within the meaning of the GDPR (hereinafter referred to as “Controller”) - Wroclaw University of Science  and Technology (hereinafter referred to as “WROCŁAW TECH”) - shall determine the scope, purposes and methods of processing personal data for these purposes. The Controller, whose representative is the Rector and other persons authorised by him, has its seat at: ul. Wybrzeże Wyspiańskiego 27, 50-270 Wrocław, Poland. This is also the contact address for traditional ways of sending letters however you can get in touch with the data Controller via email or by using the form and data available on the following webpage: https://pwr.edu.pl/en/contact-us. You can contact the data Controller in this way if you want to exercise the rights that natural persons have under the GDPR.

A Data Protection Officer (DPO) has been appointed by the data Controller. He's the person you can contact if you want to know how the Data Controller processes your personal data. The DPO sits in the same seat as the Controller. You can contact the DPO at the following email address: IOD@pwr.edu.pl.

We intend to process your personal data for the purpose of organizing and carrying out the "Correlations and Coherence at Different Scales" conference in Ustroń. The purpose of this data is to maintain contact with as well as to prepare the event.

WROCŁAW TECH may also process your data if it is necessary for the following purposes:

a) participating in the conference – the legal basis for processing is your consent (Article 6.1.a of the GDPR);

b)  to the performance of WROCŁAW TECH's - the legal basis: obligations of controller (Article 6.1.c of the GDPR);

c) organising conferences and settling accounts for participants  - the purposes of the legitimate interests pursued by WROCŁAW TECH - unless your interests, rights or freedoms that require protecting your data override those of WROCŁAW TECH (Article 6.1.f of the GDPR). This will normally apply to data processed to ensure physical, organisational, legal or financial security in relation to WROCŁAW TECH's activities.

 

As a public university, the Controller is subject to various documentation, archiving, reporting and public disclosure obligations. WROCŁAW TECH's activities are monitored and subject to audits and inspections by authorised bodies. These audits and inspections often involve the disclosure of information (including personal data) to such bodies.

To the extent required by the University's internal regulations, your data will be processed by authorised employees at WROCŁAW TECH. Our aim is to keep the amount of data to a minimum. This also applies when precise identification of individuals is necessary. We will therefore process your personal data, such as your name, address, affilation and e-mail address. Providing data is voluntary, but necessary to register for the conference.

Your data will be stored only as long as necessary for the organization of the conference and related obligations (e.g. accounting, reporting). It will then be kept for the period necessary to document activities in which you have participated

If the purpose of processing your data changes, we will inform you of the changes and, where justified, ask for your consent to continue processing your data.

We will disclose your personal data to our authorised employees for processing, but only for business purposes. We may disclose your personal data to our contractors, subcontractors and their employees (including law firms, consultants, accountants, debt collection companies and IT companies) in legitimate cases. This may be where they provide services to the university that require access. We do not intend to share personal data with third countries or international organisations outside the EU. In cases related to using EU funds, your data may be accessed by authorised EU institutions and bodies however, they will comply with EU rules and laws (including the GDPR), ensuring an adequate level of protection for your data. A decision confirming an adequate level of protection will be the basis for the transfer of data from the EU to organisations in the US that are listed in the 'Data Protection Framework List' from 10 July 2023 onwards. This agreement covers a number of entities, the list of which can be found at: https://www.dataprivacyframework.gov/s/participant-search. It is possible to transfer a variety of data, including email addresses, participant IDs and data on user activity on the network (cookies). The content of communications and even the content of documents sent can also be transferred. We recommend using identifiers that do not reveal the user's identity. We also recommend encrypting attachments. This is if it is necessary to maintain the confidentiality of their content.

We grant you several rights in relation to your data. For example, your rights regarding the processing of personal data include:

a) the right to object to the processing of your data based on your particular situation (when we process it in the legitimate interests of the university);

The right to request data portability and the right to request the erasure of personal data (the so-called 'right to be forgotten'), which can be exercised if we have processed the data solely on the basis of your consent. This does not affect the lawfulness of the University's processing of the data up to that point.

c) the right to request restriction of the processing of personal data, unless a relevant legal provision allows us to continue processing personal data despite this request;

d) the right to access, update, extend or rectify personal data.

Furthermore, a data subject who believes that the Controller is in breach of the GDPR has the right to lodge a complaint with the President of the Data Protection Authority: ul. Moniuszki 1A, 00-014 Warsaw. Hotline: 606-950-000 is open on working days from 10:00 (10 a.m.) to 14:00 (2 p.m.).

We use cookies on our website when data is processed by browsers or information systems provided by WROCŁAW TECH. We use them for statistical purposes and to improve accessibility and the quality of website content, as well as for the use of social networking services. Cookies are also used to maintain the user's session on web pages that require a login. We only use this personal information for our own purposes however, it may be shared with other companies for statistical purposes or to operate social networking tools.

As a result of processing data related to preparing, executing and archiving contracts, the Controller will not make any decisions automatically (that is, without human intervention).

Providing us with personal information via contact or registration forms on our websites is optional but we might need to answer a question you asked or check that you are going to an event we are running. This information will not be shared with any other company or organisation. The data will not be processed for purposes other than those directly related to the above examples.

Permission to disseminate my image

I voluntarily grant Wrocław University of Science and Technology permission to disseminate my image free of charge for the University's and the Faculty's promotional purposes. This includes providing information about the "Correlations and Coherence at Different Scales" conference in the media (including social media) and on the internet. This permission covers the use of available recording and reproduction techniques, without any territorial or time restrictions. I understand that I can withdraw this permission at any time, which will not affect the legality of any actions taken by the University up to that point.

My image may not be used in a form or publication that is offensive to me or otherwise infringes my personal rights. My image may not be used in any way that is offensive to me or otherwise infringes my personal rights.

Permission to disseminate my image and voice covers their dissemination, recording and reproduction by any available techniques, without territorial or time restrictions.

I understand that in connection with the dissemination of my image, my personal data may also be used on the websites of Wrocław University of Science and Technology for promotional and marketing purposes. I understand that they may appear on social media, including: Facebook, Instagram, LinkedIn, others, and may also be recorded, stored, and disseminated by Wrocław University of Science and Technology, e.g., in the context of coverage of events organized by the University, as well as live streaming of these events, and through inclusion in promotional and informational materials, together with accompanying commentary.
